How to book flights
Please book your flights soon, and when you booked your flight, please let us know the costs so that we can update our budget.
Please read the following carefully if you want to be reimbursed: Portuguese law dictates that in order to receive reimbursement, you must have a receipt that shows OUR institution as the recipient of the invoice. That is, the invoice cannot be just to you yourself, but it has to bear the name of CIS and its financial registration number, 502791888. In addition, you always need the boarding cards. I know, this is weird, but I have not found a way around it yet
There are two options to get such an invoice:
1. You book your flight with your preferred online/real tavel agency/airline, and tell them during or after buying the ticket that you want to have an invoice to:
CIS, NIF 502791888
Av. Forcas Armadas, Ed. ISCTE
1649-026 Lisboa, Portugal
The first line is the most important thing. The address is nice to have, but not crucial.
With some companies, that works well (e.g., edreams and iberia – see info at the end for details). Sometimes it is rather difficult. If you want to avoid the hassle, we arranged a second option:
2. You book the flight with a travel agent in Lisboa with whom we cooperate. Her name is Elque Roepke. She will sell the flight to you, you pay her, and she will give you (or us directly) the invoice with the proper address. After you fly, you send us the boarding cards, and then get reimbursed.
You can either first look for a flight yourself and then check with her whether she can sell this flight, or you can just tell her your preferred itinerary and she will search for the best flight. You can pay her by credit card or transfer the money to her (Portuguese) bank account.
You can reach at elque.roepke@filekeys.com.br or http://www.filekeys.com.br
(Don’t be confused by the .br , she is located in Lisboa.)
I am sorry that this is so complicated. Believe me, we have already suffered a lot from this. We hope that the solution with the local travel agent makes things easier. If you have any questions, please contact me.
cheers,
Thomas
If you want to book yourself: It is easy to get the right invoice from these two companies:
| edreams | Just check when booking “Invoice in the name of a company”, you’ll get to fill in everything including NIF (don’t use spaces in the NIF!) and you’ll receive the invoice a few hours to days later per email. | very extensive offer, however, you’ll pay 15,- service charge per flight and passenger, which makes it sometimes more expensive than other sites |
| www.iberia.com/pt/ | only send electronic ticket, you then need to call them and ask for an invoice, which comes as pdf by email. Good: they know what a NIF is. | pt phone # is 351 707 200 000; they speak English |
I have also been told that it’s no problem with Lufthansa and Brussels Airlines. If you need details, let us know.
This hotel is about 400 m from the conference venue, and 200 m from the Metro stop “Entrecampos”, and 100 m from a busy taxi stand where you can always get a cab. See these and more locations on this map.
If you like to meet some of the other guests already on Wednesday evening while having a snack or drink, you can get together at the terrace of the Restaurant Rubro, within walking distance from the hotel (also on the map).
How to get from the airport to the hotel and back
- You can take a taxi. Just get in line outside of the aiport, wait for your taxi, and tell the driver name and address of the hotel (Hotel Villa Rica, Avenida 5 de Outubro – 5 is “cinco” in Portuguese, pronounced something like “sencoo”). They will put on the meter, and it will cost between 10 and 15 €. If it costs more, protest, but it almost never happens. It will take about 15 mins. There is always a base fee, and you will pay a small surcharge for putting luggage into the trunk. If you want, they give you a receipt (ask for “fatura”).
- AeroBus: a special busline from the airport to the city. It starts in front of the Airport, you pay 3.50 € to the driver, and get off at Entrecampos (first or second stop, depending on whether you catch the AeroBus or AeroShuttle, http://www.golisbon.com/transport/airport-shuttle.html ).
- Take the regular bus: In front of the aiport, there is a bus station for regular buses as well. Take Bus 91 (Cais Sodré) or Bus 96 (Direction: M. Pombal - Rua Ramalho). Also, buses 44 and 745 should go to Entrecampos. You have to pay 1.40 € to the driver in cash, preferably with fitting coins. Get off at Entrecampos: The bus will stop either before or after a square with a big roundabout and a large white monument. From there, you have to walk 100 ms to the hotel (see map). If you have a lot of luggage, they might protest and send you to the AeroBus.
There is an ATM in the airport if you need Euros.
